What is E-Invoice? E-Invoice is an application that allows electronic sharing of transactional data between John Deere business units and suppliers who are not using traditional EDI or Web EDI. Suppliers may access the E-Invoice application through the John Deere Supply Network to view payment detail and have the option of creating invoices.
Who uses E-Invoice? Direct Suppliers, Indirect Suppliers and Deere employees can access E-Invoice through JD Supply Network.
Is a user ID and password required for E-Invoice? No, a user ID and password are not required for E-Invoice.
Where can I find the hardware requirements for E-Invoice? The E-Invoice Hardware requirements are the same as the JDSN Hardware requirements.
What information does my company need to provide in order to create an invoice through E-Invoice? Suppliers will need the correct John Deere billing unit, purchase order, item number or supplier number, and a valid e-mail address in order to create an invoice through E-Invoice.
What information does my company need to provide in order to view payment detail through E-Invoice? Suppliers will need to use the same e-mail address used that submitted the invoice, supplier number, and invoice number in order to view payment details through E-Invoice.
If I am using E-Invoice with one factory how do I get set up with other factories? E-Invoice will work for all APSS supported units and Welland Works. A drop down menu of these units is provided on the E-Invoice tool or view the John Deere Units Accepting e-Invoices.
Will E-Invoice work with Mac-based systems? No, it will not work with your Mac-based systems.
Will E-Invoice work with any browser, such as Mozilla/Firefox? No, E-Invoice will only work with Microsoft Internet Explorer 6.0 or higher.

How do I know which John Deere unit to bill? Review your copy of the PO for the John Deere unit name initiating the order. If you do not have a copy of the PO readily available, contact the buyer for this information.
Where do I find the PO number? All parts and services provided to a John Deere unit by your company should be provided only after receiving a valid PO from that unit as proof the buyer is an authorized agent of John Deere. Contact the buyer to obtain a copy of the PO. PO examples: Example of a Purchase Order (PO)
Where do I find the John Deere part/item number? Review your copy of the PO for the part or item number. If you do not have a copy of the PO readily available, contact the buyer for this information.
Why do I need to enter a valid e-mail address? You will not be able to create an invoice or review payment details on E-Invoice unless you have a valid e-mail address. A confirmation e-mail will be sent to the e-mail address used on the E-Invoice tool.
How do I know what my invoice number is? Suppliers are responsible for creating their own invoice numbers. Invoice numbers cannot be reused so each invoice must have a unique invoice number created by the supplier.
When all lines of the PO are not showing? E invoice will only show Direct or Indirect. If your Purchase Order has both Direct and Indirect line items, you will need to mail a paper copy for processing to: John Deere (Name of Unit being billed) PO Box 8808 Moline, IL 61266-8808
How do I know who to contact with a question about a PO? You should contact the buyer or requisitioner regarding any questions about a PO.
Why is a packlist number required? To uniquely identify the material being invoiced. This packing list number must match the shipment received.
How can I get a price changed? You should contact the buyer regarding any pricing issues.
Can I charge for pallets or John Deere containers on E-Invoice? No, currently pallets and John Deere containers can not me entered on e-Invoice. Please contact your EDI coordinators to discuss other invoicing methods for John Deere pallets and containers.
When do I enter Other charges? You should only enter charges in to this field when there is no other option that applies. If you do enter an amount in to this field please provide a description as to what the other charges are in the notes section. This field should not be used if you are billing John Deere pallets. Contact unit EDI coordinator for WebEDI/EDI/ERS setup.
When do I enter Freight charges? When freight is being charged on the invoice.
How do I know when to include tax on an invoice? When there is no tax id on the PO this indicates that it is a taxable item and tax may be included on the invoice. If there is a tax id number on the order then tax is not allowed on the item(s). In general, tax is not applied to direct material parts sent to John Deere.
How do I correct a mistake on an invoice? Use the "View Invoice Status" screen to locate the invoice and click the edit button to make changes. Changes can be made the same day only. After 4:00 p.m. CST, the invoice cannot be modified.
Once an invoice has been sent to Deere it cannot be modified. The invoice must be recreated using a new invoice number and sent to Deere. A typical practice is to recreate the invoice with a suffix appended to the invoice number and send it to Deere. If you recreate the invoice please call (309) 765-8275 to let them know which invoice should be deleted and the invoice number of the correct invoice.
How can I create an invoice if the part is not valid on the Create Invoice screen? You cannot create an invoice if the part number is not valid on the Create Invoice screen. You will need to contact the buyer to obtain a copy of the current PO.
What are the attachment requirements? Please include an electronic copy of your original invoice in .doc, .xls, .csv, .txt, .gif, .jpg, .pdf, or .xml format when submitting an invoice for indirect materials. Click the "browse" to search and attach the electronic copy of your invoice.
Microsoft 2007 can be converted to the standard .doc and.xls file types by naming the document and selecting the "Save as type" drop down menu and selecting the doc for Word or xls for Excel.
How can I view my invoices once sent? Return to this site and click "View Invoice Status" and enter your e-mail address, supplier number, and invoice number. You can review the status of all invoices, after waiting 24 hours, entered under your supplier number. If you have trouble reviewing this information on the site, please contact APSS directly at unit90apss@johndeere.com or (309) 765-8275 to speak with an accounts payable processor.
What is the SM0029: Invalid File Name error message? The e-Invoice tool doesn't allow for any special characters in the file name of the attachment, so #, %, & (-), [] are usually the culprits that are preventing the attachment from being submitted into the e-invoice tool. If there are no special characters, please let an e-Commerce processor know.
Please remove any special character(s) from the file name and re-attach.
Nothing happens when I submit the invoice. The main cause of this error is due to the web browser (usually Firefox). A PC with Internet Explorer 7.0 or 8.0 is required to submit invoices via the e-invoice tool.
How do I know if my invoice has been sent (received by John Deere)? The screen will display that the invoice has been submitted to John Deere successfully.
A confirmation e-mail is sent to the e-mail address used on the tool. Check the Invoice Status screen to make sure the status shows Sent. If the invoice does not appear that means there was a problem sending the invoice.
